How we operate

 

Becoming a user group

·       

            If you are a voluntary or charitable community group within the North East quadrant of Sheffield, you may ask to use the vehicle on a regular or occasional use. 

o    (PSCT vehicles are primarily funded for elderly persons’ use and therefore there is only a certain percentage of use that can be for children’s and other user groups. Only one of the vehicles is available for such non-elderly use.  PSCT will advise.)

o    (PSCT is not available to statutory bodies to use except when they are supporting voluntary or charitable user groups.)

·         If there is a vacant slot at the time you need it, you will be able to use it.

·       PSCT will not normally ask existing users to change their regular bookings to accommodate a new booking, unless it is mutually agreed in advance by all three parties (existing and requesting user groups and PSCT.)

·         If a user group becomes a “regular user”, defined as “once a month or more”, then it will be asked to send a representative to the voluntary management meeting which takes place 3 or 4 times each year.

·         If you wish to continue for more than one year as a regular user, you will be asked to become “member” of PSCT, and accept a position on the membership group.  There is a £1 (one) share to become a member, refundable if you cease to be a member.  Your representative will accept a role of “trustee” under the Friendly Society arrangements that PSCT operates within.  The details are available on request.

 

Insuring drivers

·        

      Only named insured drivers may drive the minibus.

·         PSCT will add to its insurance one or more people to be your driver(s).  Such people should be over 25, have a full UK license, without serious endorsements, and two years recent driving experience in the UK.

·         Each new driver must supply to PSCT a completed Volunteer Driver’s Insurance Declaration, with a photocopy of their driving license, at least two weeks before the new driver is intending to drive.

·         PSCT or its insurers may refuse any driver application, or set specific conditions, in their absolute discretion.  More details are available on request.

·         It is preferable if they are MIDAS trained, but it is not required. From time to time PSCT may have funding to support user groups to have their drivers trained to MIDAS standard.  Please ask for details.

 

Booking and collection

·      

           Each booking must be made in advance by the user group, by contact with Janice Gear, on 0114 249 2514.

·         The user group must provide its own driver, and escort if children, elderly or other vulnerable people e are being carried.  PSCT cannot supply drivers or escorts.

·         The user group will arrange with Janice for the collection of the keys at a mutually convenient time.

·         The minibus will be removed only after the agreed start time.

·         The minibus will be returned before the agreed return time.  No extended use may be made of the vehicle, including overnight return, without prior confirmation from Janice Gear that such an extension does not conflict with other arrangements.

 

Using the minibus

·      

           The driver will comply with the Driver Instructions provided by PSCT.

·         The organisation will return the minibus in a clean and tidy state ready for the next user.  There are no cleaning arrangements.  If it is repeatedly returned dirty inside PSCT reserves the right to withdraw any existing bookings and refuse further bookings.

·         PSCT will charge your organisation a mileage fee, calculated from the pick and return mileages that you must record in the Vehicle Use log-sheet in the minibus. 

      PSCT arranges for fuel to be in the vehicle, but in exceptional circumstances more fuel may be needed.  Keep the receipt and PSCT will re-imburse you.

·         PSCT will send you a monthly bill for your uses in the previous month.

·         You must pay the treasurer within 30 days of the billing date for your usage.
